Job Description:

Job Title: Personal Assistant to the Director

 

Location: Arusha, Tanzania

 

Department: Executive Office

Reports to: Director

 

 

Job Purpose:

 

To provide high-level administrative, operational, and strategic support to the Director of AtoZ Group, enabling efficient management of day-to-day responsibilities and long-term business objectives across multiple divisions, including manufacturing, FMCG, textiles, agriculture, plastics, logistics, and hospitality.

 

Key Responsibilities:

 

  1. Executive Support

 

  • Manage and coordinate the Director’s calendar, appointments, meetings, and travel itineraries (local & international).
  • Screen calls, emails, and correspondence, prioritizing issues requiring immediate attention.

 

  • Prepare reports, presentations, and briefs on behalf of the Director.

 

  • Take minutes and ensure timely follow-up on decisions and action points.

 

  1. Business Coordination

 

  • Liaise with heads of departments across various business units to ensure smooth operations and reporting.
  • Assist in project tracking and follow-ups, including real estate, product launches, exhibitions, and new ventures.

 

  • Compile and consolidate business data and reports for strategic meetings.

 

  1. Communication & Relationship Management

 

  • Serve as the point of contact between the Director other directors PA.

 

  • Draft and manage professional communications, including emails, letters, and meeting agendas.

 

  • Handle confidential information with discretion.

 

  1. Event & Meeting Coordination

 

  • Organize corporate events, board meetings, and staff engagements across business units.

 

  • Coordinate participation in exhibitions, trade fairs, and industry events.

 

  • Manage logistics, invitations, and post-event follow-ups.

 

  1. Personal Assistance

 

  • Support personal tasks and errands for the Director as required, including travel, bookings, and occasional family coordination.

 

  • Ensure Director’s preferences, habits, and schedule rhythm are respected and anticipated.

 

 

 

 

Required Qualifications and Skills:

 

  • Bachelor’s Degree in Business Administration, Management, Communications, or related

 

field.

 

  • Minimum 3 years of experience in a similar PA or Executive Assistant role.

 

  • Strong organizational, multitasking, and time management skills.

 

  • Excellent communication skills (verbal and written).

 

  • High degree of professionalism and discretion in handling confidential information.

 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and business productivity tools.

 

  • Ability to thrive in a fast-paced, multi-industry environment.

 

 

Preferred Attributes:

 

  • Swahili and English fluency (both spoken and written).

 

  • Knowledge of East African business culture and regional operations.

 

  • A proactive mindset with the ability to anticipate needs.

 

  • Flexible, adaptable, and solution-oriented.
